ICON: Terms and Conditions of competition

Update – 13th November 2025

To ensure a fair and inclusive judging process, the public vote for the ICON Photography Competition will now take place both online and in person.

Online public voting will open one week before the showcase evening and close at 6pm on the day of the event. Votes collected online and in person will be combined to determine the final winner.

This update does not alter the eligibility criteria, prizes, or judging principles of the competition – it simply expands access to the public vote to make the process fair for all entrants.

These Terms & Conditions apply to the Campfield Photography Competition (“the Competition”) organised by Ultimate Agency Ltd (Company no. 14063620, registered office: Lower Campfield, 5 Lower Byrom Street, Manchester, England, M3 4FP) in collaboration with ILFORD Photo and Campfield. By entering, you agree to be bound by the following:

1. Eligibility

  • The Competition is open to UK residents aged 18 or over at the time of entry.

  • Employees of Ultimate Agency, ILFORD Photo, Campfield and their immediate families are excluded from winning but may submit work for exhibition purposes.

2. How to Enter

  • Entry is free of charge.

  • Entrants may submit up to five (5) images.

  • Entries must be uploaded as high-quality scans via the official Google Form: https://forms.gle/NkyNQj5yZZks79mu7

  • All entries must be photographs taken on black and white film. ILFORD film is encouraged but not required.

  • Entrants may photograph exterior areas of Campfield, the café, and the upstairs bar/mezzanine.

  • Private coworking and office areas are strictly off limits.

  • Entries must be received between 5 October 2025 and 5 November 2025. Submissions received after the deadline will not be considered.

3. Image Requirements

  • Images must be original work created by the entrant.

  • Only black and white film photographs are eligible.

  • Digital edits should be limited to dust removal, cropping, and tonal adjustments consistent with darkroom practice. Heavy digital manipulation is not permitted.

  • File format: JPEG or TIFF, suggested minimum 300 dpi resolution.

4. Judging & Exhibition

  • A shortlist of entries will be selected by a judging panel from ILFORD Photo.

  • Shortlisted works will be displayed in Campfield, Manchester.

  • The final winner will be decided by a public vote, which will take place both online and in person at the gallery showcase event.

  • Online voting will open one week before the event, and votes from both channels will be combined to determine the overall winner.

  • Each person may cast one vote only.

  • The winner will be announced at the showcase event and contacted directly by email.

5. Prize

  • There is one prize available: 20 rolls of ILFORD HP5+ 35mm film and 10 rolls of medium format ILFORD HP5+ film (equivalent to a year’s supply).

  • The prize will be sent by post to the winner’s nominated UK address via a standard tracked delivery service.

  • No cash alternative is available. The prize is non-transferable.

6. Discounts for Entrants

  • All entrants will be eligible for a 15% discount on ILFORD film and film processing services at HARMANLab. Use code ICON25 at https://www.ilfordphoto.com/ and https://harmanlab.com/

7. Intellectual Property & Usage Rights

  • Entrants retain full copyright of their images.

  • By submitting, entrants grant Ultimate Agency, ILFORD Photo and Campfield a non-exclusive, royalty-free licence to use, reproduce, and publish the images for the purposes of:

    • Marketing and promotion of the Competition.

    • Public exhibition at Campfield.

    • Related press and publicity (online and offline).

  • Credit will be given to the photographer wherever reasonably possible.

8. Data Protection

  • All personal data submitted in connection with this Competition will be used solely for the administration of the Competition, including entry processing, judging, and prize fulfilment.

  • No personal data will be used for marketing purposes without the entrant’s explicit consent.

  • Following the conclusion of the Competition and delivery of the prize, all personal data will be securely deleted, except where retention is required by law.

9. Liability

  • The organisers accept no responsibility for entries that are lost, delayed, misdirected, incomplete, corrupted, or cannot be delivered due to technical errors or any other reason beyond their control.

  • The organisers will not be liable for any loss, damage, or injury incurred as a result of entering the Competition or accepting the prize, except where such liability cannot be excluded by law.

  • Nothing in these Terms & Conditions shall limit the organisers’ liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

10. General

  • Ultimate Agency reserves the right to disqualify any entry that does not comply with these Terms & Conditions.

  • The organisers reserve the right to amend, suspend, or cancel the Competition if necessary.

  • The organisers’ decision on all matters relating to the Competition is final.

11. Jurisdiction

  • These Terms & Conditions and the Competition shall be governed by and construed in accordance with the laws of England and Wales.

  • Entrants irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with the Competition.
